5 key elements to consider
when choosing a collaborative platform

Do you have a construction project for which you would like to set up a collaborative platform (EDM/BIM)? In order to optimise the purchasing process, we share five key elements with you that will save you valuable time in your discussions with the various service providers.
✓ Provide exhaustive information about your project
The service providers consulted are experts! Be generous when it comes to providing information. Type, size and cost of the project, etc. The more information you provide about your project, the better able they will be to adapt their solutions and offer you a platform with the appropriate features and support.
✓ Describe the contractual organisation put in place
Number of participants, roles and relationships: this information will enable the service providers to understand more effectively your requirements, especially as regards to the approval processes. Requirements will also differ depending on who is in charge of the service: Project Owner, Project Manager, Company, etc.
✓ List the type of data and documents that you would like to manage with the solution
There is no need to be exhaustive at this stage but try to reflect the reality of your project as closely as possible: BIM models? Packages (deliverables)? Office documents? Emails? Alterations sheets? Which documents and data will constitute the reference system of your project?
✓ State your functional requirements
This stage is different for everyone. Some will only have a general requirement in mind (“manage the documents and their approval”) whilst others may have a clear idea of the features required. Drawing up an Excel spreadsheet that sets out the required features, grouped together by category (BIM, Directory, Documents, Processes, etc.) and importance (mandatory, desirable, optional, etc.), may save you time when it comes to comparing the offers of the various service providers.
✓ Select the required level of support
Generally speaking, support is needed to configure your platform. However, it may also be wise to get support before, during and after implementation of the solution on the likes of: definition of documentary management procedures, user training, importing legacy data, delegated administration of the reference system, preparation of the switch to operation, etc. These points all warrant consideration and thinking about them beforehand will add to the efficiency of your project!
Furthermore, if your organisation has already begun thinking about coding documents, approval processes, etc. share them with the service provider. They will enable your contacts to tailor the services provided to the real requirements of your project!
